This policy describes how QB Analyzer, an internal application operated by Patten Studio ("the Studio"), handles data. QB Analyzer is used only by the Studio, on the Studio's own accounting records. It has no external users, no public sign-up, and no customer accounts.

Scope of this policy

QB Analyzer is a private, internal tool. It connects to the Studio's own QuickBooks Online company file and to internal systems the Studio operates. It is never connected to books belonging to clients, customers, or any other organization.

The only QuickBooks company the Software connects to is the Studio's own. No third-party company data is accessed, processed, or stored at any time.

Information the Software accesses

When authorized, the Software reads the Studio's business accounting records through the Intuit QuickBooks Online API. This may include:

  • Company profile, chart of accounts, tax codes, and preferences.
  • Customer, vendor, employee, and item records, including names, addresses, email addresses, and phone numbers held in those records.
  • Transactions, including invoices, bills, payments, deposits, purchases, and journal entries.
  • Documents attached to transactions, such as receipts and bills.
  • Financial reports, such as trial balance, general ledger, profit and loss, and balance sheet.

Some of these records contain personal information about individuals the Studio does business with. That information is handled as confidential business data under this policy.

The Software also stores authentication credentials issued by Intuit, including access and refresh tokens and the company identifier (realm ID).

How the information is used

The Studio uses this information only to:

  • Produce internal reports and analysis of the Studio's own financial position and activity.
  • Create and maintain an archive of the Studio's accounting records for legal and tax record-keeping.
  • Verify that the Studio's records are complete and accurate.

The information is not used for marketing, advertising, profiling, analytics about individuals, resale, or training machine learning models.

Access to QuickBooks data is read-only

The Software reads from QuickBooks Online. It does not create, modify, void, or delete records in QuickBooks.

Where information is stored

Extracted records and attachments are stored on computers, storage, and internal systems controlled by the Studio. Data is not stored on servers operated by the developer of the Software as a service, and is not transmitted to any hosted analytics, logging, or monitoring service.

Sharing

The Studio does not sell, rent, or trade this information, and does not share it with third parties for their own purposes. Information may be disclosed only:

  • To the Studio's accountants, bookkeepers, auditors, or tax advisors, in the ordinary course of preparing and reviewing the Studio's accounts.
  • Where required by law, regulation, subpoena, or other valid legal process.

Security

The Studio protects this information by:

  • Transmitting all data over encrypted connections (TLS).
  • Storing API credentials and tokens outside of source control, with access restricted to authorized personnel.
  • Encrypting stored archives and restricting access to devices and accounts controlled by the Studio.
  • Limiting access to employees and contractors who need it for their work.
  • Revoking credentials promptly when a person's access is no longer required.

No method of transmission or storage is completely secure, and the Studio cannot guarantee absolute security.

Retention and deletion

Accounting archives are retained for as long as the Studio is required to keep financial records under applicable tax and corporate law, and for as long as they remain useful for legitimate business purposes. Authentication tokens are retained only while the connection is in use and are deleted once it is revoked.

An individual whose personal information appears in the Studio's accounting records may contact the Studio at the address below to ask about that information. Requests for deletion are honored to the extent the Studio is not required by law to retain the record.

Disconnecting

The connection between the Software and QuickBooks Online can be revoked at any time from the Intuit account's connected-apps settings, or by contacting the Studio. Revoking the connection immediately ends the Software's ability to read QuickBooks data. See Disconnecting the app for instructions.

Children

The Software is a business tool, is not directed to children, and does not knowingly collect information from anyone under 16.

Changes to this policy

This policy may be updated. Updates are published at this address with a revised effective date.
